A software company selling an estimating tool to construction professionals was receiving inbound enquiries through messaging at every hour, in Italian, from a mixed audience: independent tradespeople, established firms, and consumers who had misunderstood what the product was. Each enquiry needed the same handful of qualifying questions before it was worth a salesperson's time, and most arrived outside working hours. Leads that waited until the next morning went cold, and the sales team was spending its attention on the sorting rather than on the selling.
The Approach
We built a conversational agent that lives where the enquiries already arrive — a messaging app — and holds a real conversation in Italian rather than presenting a form. It works through a five-question qualification flow, adapting the wording to what the person has already said instead of repeating a script. Product questions are answered from a retrieval layer over the company's own knowledge base, so the agent grounds its replies in the actual documentation rather than improvising. It detects the two cases that should not go to a standard demo — enterprise accounts and consumers outside the target market — and routes each accordingly. Qualified leads are offered a booking link, sales is notified in their own channel, and the lead receives an email confirmation. Conversations that stall are picked back up automatically: a first nudge after thirty minutes, a second after a day, and an automatic close after three days so the pipeline does not silt up with abandoned threads.
